• There are a variety of procedures that should be taking place in the school office in support of attendance. These include:

    • Run the Caller Report in Infinite Campus daily
      • These reports will generate a list of all students with UNV absences for that day.  Included on the list is contact information for guardians.  This report should be run daily after Blackboard Connect calls have gone out to try to determine the reason for absences. Questions to ask about this report include: 
        • Is this report being run?
        • Who is making calls? What is the call content?
        • If these calls are made regularly they have been shown to reduce chronic absenteeism.​
    • The period count report in Infinite Campus.  This report will show you absences for each period of the day in middle and high school.  It is useful to look for patterns in missed classes as well as for identifying if a specific student is more likely to be marked absent in some courses over others. These should be run weekly and students with excessive absences in individual periods can be investigated.  Questions to ask about this report include:
      • Who runs these at your school?
      • How often?
      • Who reviews the data?
      • What do you do when students start to reach high numbers?
    • Attendance Letters
      • Infinite Campus has three pre-generated attendance warning letters that can be sent to families when students reach specified numbers of absences.  By default a first letter is sent after 5 absences, a second letter after 10, and a third letter after 15.  These letters include messaging about the importance of attendance as well as specific data about the number of days or periods students have missed.  Infinite Campus automates much of this process and if letters are run regulary the time impact should be minimal.  It is recommended to run all three letters on a monthly basis.  Questions to ask about this process include:
        • Who is responsible for generating and sending these letters at your school?
        • Has that person been trained in generating the letters?
        • How often are letters being run and sent out?
    • Consecutive absence reports in Infinite Campus
      • These reports can be generated to identify students with any number of consecutive absences however two key numbers of consecutive absences to look at are 10 and 20 days.  WCSD policy is that if a student is absent for 10 consecutive days and the whereabouts of the student are not known they are to be unenrolled.  Students who are absent for 20 consecutive days for any reason are also automatically unenrolled.  Consecutive absence reports should be run weekly to identify students at or approaching the 10 and 20 day marks.  Questions to ask about this report include:
        • Who is responsible for running this report?
        • Is that person tracking students who are approaching the 10 and 20 day mark?
        • What is being done to try to re-engage those students?
        • Are withdrawls being processed at the 10 and 20 day mark?
        • Is there a process in place for contacting your school re-engagement specialist when students are approaching withdrawl and for students who have been withdrawn?
    • BIG Reports
      • Please see the reviewing the data section of this toolkit for specific information about BIG reports and how they can be used to identify students potentially in need of intervention.  Questions to ask about BIG reports include:
        • Are BIG reports (especially the Chronic Absenteeism Dashboard) being looked at regularly?
        • Who is looking at that data?
        • Are interventions in place for students identifed through BIG?
