Check Your Page After Every Edit

This checklist will help you in making sure your page meets or exceeds the guidelines set for editing a district web page. Use this checklist every time you update a page on your site.
ADA Accessibility
- Is everything on your site accessible?
- Are the documents on my site accessible?
- Check your Ally accessibility score. The higher your score, the more accessible your site is. Visit the Ally Accessibility page for more information on how to maintain an accessible site.
Incorrect or Out-Dated Information
- Remove any and all outdated information. Unless the subject matter requires you to keep and archive it is best to remove it and let your users request the information via email.
Instructions on how to efficiently clean up your site and the information on it.
Readability
- Write at the level of your audience. Using big words, acronyms, and terms that your audience may not understand defeats the purpose of providing the information via the web.
Spelling and Grammar
- I know all of you are teachers and educators, but please use something to double-check your spelling and grammar. I will be the first to admit my skills in spelling and grammar are lacking. That is why I use an application called Grammarly. There are many applications available to be a suitable second set of eyes. Find the one that works for you.
Broken Links
- Check all your links. Make sure they all work and point to where you expect.
- Links change often, especially links to government sites.

Files and Folders
It is very important to make sure your files and folders only contain current and updated images and documents that are currently being used on your site. The website you maintain should never be used to store old and outdated information. Images and documents that are in your files and folders can be located and accessed using the site's search function. Leaving old and outdated information in your files and folders can result in the distribution of outdated, misleading, or incorrect information.Removing Old Information from Your Files and Folders
- Open the content manager and navigate to the site you want to clean up.
- In the right corner of the content, manager page, look for the box titled common tools and click on the Files and Folders link.
- From the Files and Folders window, you will be in the main directory. This is the directory that usually will hold most of the outdated information.
- First Sweep - Delete any and all information you know to be outdated. This is usually pretty easy as a lot of documents are named with the date in them.
- Second Sweep -Make sure you delete and never upload any regulated document to your website. These are documents you may have copied from the WCSDPolicy.net site. They usually start with a couple of letters followed by a number and title. (Example AI-P001)
- Third Sweep - Look for file names that you do not remember or do not recognize. If you know it is not linked to your site, delete it.
- Not Sure What it is - if you are unsure what an image or document is, you can check by clicking on the actions button to the right of the image and document. Select the Get Link option. Copy the URL from the top selection. Open a new browser window and paste the address in the browser's address bar. Delete it if necessary.
- Fourth Sweep - If you do not recognize it and it does not have a date just delete it. In this sweep, you are just getting rid of the garbage to keep your site clean.
- It is not over yet. In the Files and Folders window in the top left you will see the folder called Site Files with a black triangle beside it. Click on the triangle and the Site Files folder will expand to show folders that were created within the Site Files folder. Follow the instructions above for any and all subfolders.
- The first time you do this, it will be very time-consuming. After the first time, and if you keep up with it they shouldn't take any time at all.
WCSDPolicy.net
WCSDPolicy.net is the district's site that contains all the regulations and policies. Yes, you can click on and view these documents, but you should never copy and upload one of these documents to your site. These documents are updated on a regular basis and you may inadvertently distribute an old, outdated, or incorrect version of the document. The correct procedure is to copy the link that is provided by the WCSDPolicy.net site and use that on your site. This will ensure that your visitor gets the most up-to-date version of the document. Once you put one of these links on your page, you do not need to worry about updating the link as the site will always provide the most current document.

Staff Directory
Check your Staff Directory for any changes that may need to be made. It is very important that you keep your staff directory up to date as it is used not only by parents but also by district staff. If you have not done so already, make sure you are using the staff directory app. The Staff Directory app makes it easier to keep the directory up to date. It is formatted and has basic filters to help you find someone in the directory.
News and Headlines / Announcements
The News and Headlines App is very useful as it will allow you to add a start date and end date to the record. This can cause problems if you do not periodically delete the old records from the app.
