• Clean It Up
    It is very important to keep the content of your site correct and up to date. This does not just mean the information that is displayed on your site, but also the contents of the site's files and folders. This information is important for anyone who manages and maintains a site within the district. Providing the public, parents, and community members with correct up-to-date information is more important than ever. If for some reason you are unable to complete the task required of a content manager, please contact your administrator, and ask to be removed from being a content manager. 

    Files and Folders Clean Up - Distribution of old outdated material is a big problem. Even if the images or documents you have in your files and folders are not linked to content on your site, the information can be obtained using the district's search engine. When a parent or community member finds information this way it is almost impossible for them to know that the information is out of date. The website is not the place to store files or images. If they are not up to date and currently in use on your site, please be sure to remove them. Below are instructions for removing old, outdated content from your files and folders. Be sure to clean out and or delete any subfolders, not in use.

    Broken Links - Once you have completed removing old and outdated images and documents from your files and folders it is important to check your links. You may have created broken links by deleting content from your files and folders, but you may have broken links from other sites that have changed or updated documents or links. Never assume a link will stick around forever.

    Staff Directory - It's a new year and there have been a lot of changes. Please be sure to check your school's or department's staff directory. I have received a lot of requests that schools and departments use the staff directory app rather than try and maintain a list of employees. Please make sure you are using the staff directory app to ensure ease of use for your audience.

    Incorrect Information, Abandoned Pages or Sites - If in your search of the district site you find incorrect information, abandoned sites, or pages, please inform the responsible school, office, or department. It is the responsibility of each school, office, department, and teacher to keep the information provided on their sites correct and up to date. If for some reason you cannot inform the responsible party, you can forward the information to Michael Morris.

    Clean Up Apps No Longer Being Used - When you delete a page, the apps that existed on that page do not get deleted with that page. So, it is important that if the app is no longer needed the information should be deleted.

    Obsolete Pages Should Be Removed Not Stored - The website is not a storage space. The only thing that should be on your site is current, up-to-date information and imagery. This goes for any pages or any content inside of apps you have created but are no longer active because the information is irrelevant. Delete all those pages that are inactive, you do not need to save them. I understand that the information may be relevant again someday, but it will still be outdated and need to be rewritten anyway. Other than a few departments in the district we are not required to keep an archive of every piece of information provided on the web. If the public needs some information they once saw on our website, let them request that information.

    Cleaning Up the Files and Folders

    Sign in to the district site and navigate to the site manager control panel. If you have access to more than one site, select the first one (Each site has its own files and folders section).
    In the top right corner of the site manager under tools click on the link for files and folders.

    The files and folders section will open in a new window. The main directory will be open by default and is usually the one that needs the most work done.
    You can delete the old files and images by clicking on the More button and selecting delete. You can also select the check box in front of the file or image and click the delete button located at the top of the page.
    When you have completed cleaning out the main directory it is time to move on to the sub-directories. These can be located by clicking on the triangle next to site files in the left column of the files and folders section.

    Select each sub-directory and remove the old files and images.
    If you are responsible for more than one site, please repeat these steps for each site.
    Be sure to check for outdated files and folders often. It is important that the district only provides up-to-date information.

    Broken Links

    Check for broken links - The easiest way to check for broken links is to click on every link on each of your pages. Don't just check links to outside resources. Links to district resources change all the time.
    Sign in to the district site and navigate to the site manager control panel. If you have access to more than one site, select the first one.
    Navigate to the page with a broken link or links.
    Either delete the link or update it.
    Never assume your links are up to date. Routinely check your links as you would the content on your page.
    Staff Directory

    Be sure you are checking your staff directory to make sure it is up to date. A lot of times the staff directory of the department or school is the only way other departments are aware of who is at that location. 


    Abandoned Pages or Sites

    If you happen to come across a page or site that looks to be abandoned let the department responsible for the page or site know. This goes for pages or sites where the information is no longer relative or just obviously is out of date. If you are unsure of the content or which department is responsible for keeping the page or site up to date, please forward the links to Michael Morris.

    Deleting Apps That Are Not Being Used 

    Now that you have cleaned out all your old and unused documents from your files and folders, it is time to clean up the apps. Below you will find the instructions for removing unwanted apps from your site. Unfortunately, the apps can be created, and even if they are not being used on a page, they can be stored in the app manager. While the apps and the content of the app cannot be found using the search engine or any other message the Ally system (ADA tool) can sometimes flag content in these unused apps. 

    Sign in to your site and navigate to the site manager. 
    On your site click on the Tools tab, and then the App manager.

    In the App Manager start at the top and work your way down.  
    Select the first app and check to see if you have any instances of the app being used on your page. 
    In the example below you will see I have selected the About Teacher app. It has two instances of the app.

    If the app was being used on your site, you would see its location below the app title. In this example, I have selected the Article Library app. I have multiple instances of the Article library app. Two of them in the example are being used on my site the rest need to be deleted.

    We need to clean up all the apps that have been created but are not being used. In the example below I have the Article Library selected. I have selected the Web Editing instance. I then click the more button and choose to delete the app.

    Continue to do this through all the apps.
    Deleting Inactive Pages

    Look for any pages with inactive in front of them. 
    To the right of the inactive page click on the actions button.
    Then click delete.

    For most apps, the content is shown on the page, so it is easy to edit and maintain that app. But for some apps, you can create multiple records in that app. Those records can become obsolete, and the information needs to be removed from the site. In the example below you will see an announcement app that has multiple expired records in it. These records should be deleted. The information in them is now irrelevant.
